Your Opportunity

The successful candidate will have a passion for detail and enjoy working in a fast-paced team environment. Administrative professional with a passion for customer service and attention to detail.

As resource scheduler you will work with project managers, team leads, administrative and equipment teams to develop and maintain a resource scheduling tool, resource staff for field work, schedule shifts, assist staff with booking travel, assist with timecards and expenses, assist with tracking team members certifications and training while keeping in mind project requirements and aid the Senior Office Coordinator in the daily operations of a large consulting office.

Your Key Responsibilities

Maintain a staff schedule for a large field team of several disciplines working on multiple projects while coordinating with project managers, team leads and staff members

Assign shifts according to project needs, qualifications, and availability

Promote Health and Safety at all times – engage in critical thinking (be proactive), exhibit situational awareness, assess and control risks (for self and for colleagues), engage in safe work practices

Assist in planning and booking travel (air, hotel, vehicle rental) of individuals and large crews mobilizing to remote areas in British Columbia, ensuring protocols are in place

Assist staff in procuring equipment and supplies

Assist staff with weekly timecard administration

Assist staff with expense submissions

Maintain staff records for certifications, training needs and project related safety requirements

Qualifications

Your Capabilities and Credentials

The successful candidate will be:

Confident user of MS office including Excel, Teams, Word, PowerPoint, and Outlook

Possess a willing, adaptable and flexible approach with a ‘can do’ attitude

Solid written and verbal skills

Proven high attention to detail

Experience within a fast-paced, high demand environment

Ability to work on own initiative or as part of a team

Demonstrated organizational skills with an ability to prioritize work

Proven critical thinking and problem-solving skills

Interest in Health and Safety

Ability to prioritize tasks in a timely manner

Flexible work hours on occasion

Education and Experience

Education relating to Business or Business Administration or equivalent work experience

Minimum of 3 years’ experience in a customer service capacity

Experience with fieldwork and travel is an asset
