Summary:

Under the direction of the Manager, Account Administration, this hands-on position is responsible for overseeing the day to day operations for PIC and MD lines of business while also supporting MD Digital Initiatives. The role requires demonstrated strategic/analytical thinking, and problem-solving. The leadership expectations of this role are as follows: acting as a resource for questions, coaching to improve performance, ensuring quality and efficiency standards are met, guiding and supporting the team with project initiatives, identifying development opportunities, and clearly articulating expectations and delivery of performance feedback on a regular basis.

Under the direction of the Manager, Operations, this position will include the overseeing of the day-to-day fee-based operations for all fee-based platforms and directly leading the members of the Fee Management team. The span of responsibility for the Fee Management Team Lead will include oversight into all functions performed by the Fee Management Officers and the implementation of all business and audit controls to ensure effective delivery of all fee management processes.

The ability to perform these functions must be coupled with a thorough knowledge of financial services products and services. The Team Lead will work closely with the other Team Leads in Financial Services Operations and our front office to ensure that processes are in place to maintain the highest possible standards of efficiency, quality and accuracy. This position will also be responsible for building relationships and answering process and service level questions from client-facing staff.

Duties & Responsibilities: (What you will do)

  • Responsible for the inspirational leadership, coaching, mentoring and development of a dedicated team
  • Accountable for keeping up-to-date with financial services regulatory, product and industry changes
  • Ensure adequate policies and procedures are drafted, updated and implemented
  • Collaborate with the Leadership as necessary to develop short term action plans and craft longer term strategy for Operations.
  • Responsible to ensure all day-to-day internal and external client cash and asset transfers, along with other related activities, are completed in a timely basis, and any errors detected are corrected expeditiously
  • Work with the Leader, Portfolio Services, to help to develop departmental action plans to deal with future corporate initiatives and industry changes involving regulatory and tax issues
  • Provide day-to-day coaching on both routine and complex requests
  • Collaborate with other Functional areas such as Technology and Sales staff to identify new opportunities, resolve problems and streamline processes to ensure open, consistent communication
  • Conduct regular team meetings to discuss training issues and communicate new information
  • Work closely with other functional area leaders to discuss corporate initiatives
  • Regular off-the-floor employee meetings and assessment of performance measurement to ensure targets are being met, and if not, appropriately addressed
  • Continuously look for opportunities to improve process, procedure and technology solutions
  • Ownership for overseeing all process that govern the administration of fee setups from the book of record into the fee calculation application and providing controls that meet business and audit requirements for the maintenance of fee invoice records within the fee calculation application.
  • Accountable for the integrity of all fee calculations performed by fee calculation application and the posting of fees to the book of record system.
  • Accountable that all fee procedures are being utilized effectively to ensure that all processes meet the defined policies and audit requirements for the accurate execution of fees in any fee-based accounts.
  • Accountable to ensure that all monthly and quarterly reconciliation and analysis tasks are completed on time and that all control activities comply with audit and business stated controls.
  • Responsible to ensure that all documentation for fee-based work instructions and processes are being maintained in accordance with operational standards and to ensure the consistent and accurate adherence to any processes. This includes the reporting of any system and process deficiencies to be resolved.
  • Responsible for the successful implementation and execution of any process improvements to enhance operational controls and/or provide more effective management across the fee-based platforms
  • Contribute to the effective functioning of the Fee Based Program, Products & Services team by building effective working relationships across the team and with various business lines.
  • Maintain a high level of customer service by facilitating a culture of open and honest communication. Actively share knowledge and experience to enhance the development of all team members

Education & Experience: (What you need)

  • University or college degree, preferably with a business background.
  • Canadian Securities Course and other relevant courses coupled with 5-7 years’ experience in the Financial Services industry (including Leadership experience)
  • In-depth knowledge of the financial services industry and transfer rules regarding RESPs, RRSPs/RRIFs, TFSAs and non-registered investments and applicable tax-related issues
