Job title: Administration Assistant
Job description: Opportunity for an enthusiastic, energetic and experienced office administrator to provide office administration support to our North American operations. Working as the Administrative Assistant within the RPM Advisory Division, this role will provide varied administrative support to the team and ensure the smooth running of the Toronto office. The primary focus includes proposal preparation, project management administration, provide onboarding and administrative assistance and managing office maintenance.
Advanced skills in the Microsoft Office suite and strong computer literacy will be crucial to be successful in this role.
This is a full-time permanent role based out of our Toronto office. RPM will provide employee benefits including medical insurance.
Key Responsibilities
- Support and assist the Business Executive for the Americas as needed.
- Support the Business Executive and Project Managers as needed in Report formatting.
- Provide support to projects as needed in Data downloading and uploading to Share-point.
- Support and assist the Business Executive and Global Administration group in updating Salesforce as required.
- Set up meetings for Advisory staff as required, including senior leadership and Corporate leadership in Australia.
- Onboarding and offboarding new staff.
- Ability to manage multiple priorities.
- Maintain the CRM system and ensure data quality.
- Provide general SAP assistance to staff, including running project WBS reports etc.
- Assist with local accounts including payable and receivable duties.
- Manage and assist in any Advisory Americas travel coordination and visa applications.
- Handle and maintain commercially sensitive information.
- Provide assistance for marketing events and campaigns for Americas Advisory.
- Support corporate in Australia to organize Americas’ software training courses.
- Manage the office and maintenance requirements including maintaining inventory assets.
- Provide substitute support for the Business Executive and the General Global Administration group on an as needed basis.
- General administrative duties including filing, mail and reception.
- Administration including re-direction of incoming calls, visitor reception, meeting room management, mail and courier management, ordering stationery, suppliers, and kitchen consumables.
About You
- Willingness to learn.
- Advanced computer literacy with the Microsoft Office Suite.
- Post-secondary education is preferrable.
- Experience with SAP and Salesforce or comparable systems will be highly regarded.
- Clear and effective communication skills both oral and written.
- Strong organizational skills and attention to detail.
- Ability to take initiative and work independently.
- Strong command of the English language in both verbal and written form.
- Must be legally entitled to work in Canada.
