Job description: Effective immediately until Jan 10 2023 or the earlier return of the incumbent
JOB SUMMARY: under the direct supervision of the records manager and the general authority of the dean of academic systems, provides technical support for the registrar’s office.
DUTIES AND RESPONSIBILITIES:
- Analyze, interpret and implement new MEES transmission directives
- Prepare student records for transmissions
- Ensure the transmission of student data to the Ministry for the day division and some AEC programs including permanent code requests/modifications
- Process and transmit grade changes, comprehensive assessments and course objectives and evaluations (SU/EQ/DI)
- Analyze, validate and correct SOCRATE/CLARA transmission reports for day division
- Collaborate with other technicians in the Registrar’s Office regarding transmissions and student records
- Participate with Day and Continuing Education registration
- Assists with Summer School registration
- Liaise with Continuing Education AEC Program Coordinators regarding operational aspects of some AEC programs
- Oversee the daily operation of clerk(s) in the Registrar’s Office
- Liaise with academic advising regarding course evaluation requests
- Write and update Records procedures/processes, and assists with staff training
- Oversee the archiving of student information and maintenance of physical files according to the Calendrier de Conservation
- Respond to student inquiries and Omnivox messages from staff and students
- Update Omnivox and portal calendar
- Prepare and distribute registration information to students
- Generate day student registration appointment times, terms, semester fees and refund requests
- Oversee the administration of the Probation policies
- Plan and participate in the administration of the Ministerial Examination of Language of Instruction
- Prepare statistical reports
- Perform any other related tasks as requested
QUALIFICATIONS:
Education:
To have a college diploma in an appropriate specialty or a diploma or an attestation of studies which is recognized as equivalent by the competent authority
Specific Requirements:
- English intermediate both oral and written
- French intermediate: oral, comprehension and written
- Computer skills (Microsoft Office, Words & Excel)
- High degree of accuracy
- Logic and analytical skills required
- Knowledge of the CEGEP system an asset
- Ability to work under pressure
- Good communication skills
- Ability to organize work
Testing may be required to demonstrate knowledge of:
- English (intermediate oral)

- French (intermediate oral)
- French (intermediate comprehension)
- French (intermediate written)
- Word (basic)
- Excel (intermediate)
- Logic and analytical skills
