Job title: Budget & Administration Support

Job description: Adecco is currently recruiting for a Budget & Administrative Officer for a 6-month contract with a Crown Corporation client. Candidate must hold a Reliability security clearance.

The Budget & Administration Support will have the following responsibilities: * Review and analyze monthly status reports from Finance.

  • Perform chargeback process at the end of each period.
  • Review all dockets marked for billing for accuracy and confirm that all disbursements relating to billing are documented on the invoice.
  • Finalize chargeback report and provide to Finance.
  • Ensure all dockets are billed or accrued at the end of the fiscal year.
  • Archive docket invoices in Sharepoint at the end of each fiscal year as part of the Records Management requirement.
  • Review and coordinate communications technology requirements. Liaises with IT for acquisition of required hardware and software.
  • Generate purchase orders on behalf of the Communications team and our internal clients for the procurement of goods and services.
  • Liaise with suppliers and sourcing management to ensure timely payment to vendors.
  • Responds to ongoing enquiries and request for information related to graphic design fees from various departments.
  • Review and reconcile the internal customer report on a quarterly basis. Prepare report for GMs approval and signoff.
  • Provide ongoing administrative support to the Communications team to include ensuring time and leave records are up to date in SAP.

The Budget & Administration Support must meet the following mandatory requirements: * Completed post-secondary Finance OR Accounting, preferably in a related field OR a combination of equivalent professional experience and training

  • Minimum 3 years of relevant experience working with budgets and administration
  • 1+ years of experience in a unionized environment an asset
  • Some experience working with a database (SAP, Filemarker)
  • Proficient computer skills and competent with Microsoft Office programs
  • Advanced experience with Microsoft Excel
  • Strong communication, analytical, and customer service skills
