Description/About the Role:
Reporting to the President and Vice President, Finance, the Director of Administration will manage all administrative functions and departments for a growing professional services firm headquartered in downtown Toronto, providing accountability for flawless execution and superior internal client service.
The Director of Administration will have 3-4 direct reports to support administrative functions and help drive results.
Responsibilities:
- Set goals and service standards commensurate with a rapidly growing professional service firm
- Develop and implement objective and metric-driven assessment structures for all departments and functions
- Train the broader administrative team to achieve adequate cross-functionality and redundancy
- Standardize and document operating procedures with constant evaluation and process improvement
- Support in preparation of departmental budgets, and take full accountability for adherence
- Supporting finance in the preparation of employee expense summaries (downloading and manipulating data in Excel from an online expense reporting platform)
- Support in maintaining an immaculate Toronto head office (kitchen, meeting rooms, etc.), and managing vendors relating to office maintenance and facilities management
- Support in ensuring all office equipment (phones, WAN, copier, telecommunications equipment, etc.) is in working condition and always readily available
- Support with IT inventory (laptops, mobile phones, etc.) and managing day-to-day relationship with an external IT support provider
- Liaise with legal department for legal aspects of Trindent.
- Support Human Resources in the onboarding of new hires (IT setup, office access, employee headshots, administrative training, etc.)
- Manage HR records and other confidential records
- Manage new hire orientation program and any exit interview programs.
- Manage company payroll
- Manage of existing and overseeing of employee programs and activities
- Oversee purchasing supplies
- Oversee vendor management
- Perform other duties and ad hoc projects as assigned
Education, Experience, and Skills Required:
- Bachelor’s Degree or College Diploma in Administration, Human Resources, or related discipline
- 10+ years of experience, including 5+ years in a managerial capacity, in any or combination of office administration, human resources, finance, or executive support
- Experience in a consulting firm or professional services environment will be considered an asset
- Superior people-management ability with demonstrated experience managing a highly functioning team
- Exceptional written and verbal communication skills
- Proficient user of Microsoft Office Suite (Word, Excel, Power Point and Outlook)
- Experience using SAP Concur or other Expense Management software is an asset.
- Experience using InDesign or other Adobe applications is an asset
- Experienced and proficient in using a variety of telecommunication platforms (i.e., conference calls, video conferencing, web meetings, etc.)
