Job Description

The Manager of Project Administration reports to the Senior Manager of Business Solutions & PA. The incumbent is responsible for a team of project coordinators and project administrators, overseeing the day to day aspects of project operations within the organization. The incumbent fosters a cost conscientious discipline within the team and strives for accurate and timely execution of team tasks. Is accountable to all requirements and ensures the team meets all task deadlines. Provides a constant focus on continuous improvement of systems processes and policies and adapts processes to address trends and needs.

Responsibilities

  • Provide mentoring and coaching to a team of Project Coordinators and Project Administrators and create and execute on individual development plans and goals
  • Responsible for developing well defined processes & standards for use in the management of all Clients related projects
  • Comprehensive understanding of contract scope and requirements for pro-active management of projects and integration into existing processes
  • Collaborates with other departments as required to execute on timelines to meet the goals of management and contractual compliance
  • Identifies opportunities for operational improvements and the implementation of processes and systems to support business and department needs
  • Ensure internal customers (Project Management, Construction, Materials and Finance) are supported in all capacities
  • Manage current Power BI Reporting and continuously improve metrics as needed
  • Ensure quality standards are met with AsBuilts, PreCons reflect accurate estimations of work and both items are completed within required timelines
  • Provide assistance to the Project Administration team to manage and support Subcontractors with regards to onboarding, process and billing reconciliation
  • Assist team members with operational problem solving and technical understanding
  • Foster an environment of collaboration, communication and teamwork
  • Communicate to SR. Manager of Business Solutions & PA and executive team on challenges and successes of the department

Qualifications

  • 5+ years of experience in a people management capacity or leadership role
  • Good understanding of Project Management, Finance and Business Process
  • Good technical understanding of Civil Construction and Fibre Optic Infrastructure
  • Proficient in MS Office, with intermediate knowledge of Visio, and Power Point
  • Knowledge of advanced Excel, Power Query and Power BI is an asset

Working Conditions

  • Normal office environment with some field environment.
  • General hours of Monday to Friday 8:00am to 4:30pm – longer hours may be required.
  • Travel is required.
