Your role:

Lead the office administration function; develop and implement administrative procedures to help the organization run efficiently. Coordinate and balance the workload of the executive assistant pool to support efficiently the C-suite and senior leadership team. Provide assistance and support to the CEO.

What your days would look like:

  • Lead the office administration function; oversee office services and supplies
  • Submit insightful recommendations and implement administrative procedures for optimal services
  • Select and manage external vendors for travels, office services (break rooms, recycling, etc.)
  • In collaboration with Facility, coordinate workspace allocation on all sites
  • Implement and manage the workspace reservation system to allow employees working remotely to have access to a workspace when they come on-site
  • Handle special Facilities related projects, as assigned by the CHRO
  • Ensure the flexibility and the development of the office administration team
  • Coordinate and balance the workload of the executive assistant pool to support efficiently the C-suite and senior leadership team
  • Provide assistance and support to the CEO; proactive resolution of meeting conflicts in a collaborative manner with a focus on business priorities;
  • Manage emails, phone calls٫ schedule meetings and manage calendar for optimal efficiency;
  • Perform travel arrangements and reservations with a high percentage of international travel and process expense reports on a timely basis;
  • Build an internal network and strong working relationships with Executive Committee members and their teams.

Required profile:

  • Bachelor degree or equivalent experience
  • 10+ years of experience in administrative support, including 3 to 5 years experience as an executive assistant (experience in supporting a C-Level executive will be an asset)
  • 3+ years of experience in supervision
  • Highly proficient in Microsoft Office Suite and graphical tools such as Visio
  • Demonstrated ability to work efficiently and juggle multiple priorities simultaneously
  • Strong communication and interpersonal skills
  • High level of attention to detail and accuracy with strong grammar and proofreading skills
  • Able to deal with sensitive information in a confidential and professional manner
  • Bilingual, (English & French), oral and written with a high level of attention to detail and accuracy with grammar and proofreading skills
