Reporting to the Provincial Manager of Administration, the Office and Supply Coordinator provides facilities support services and office supply management for their individual site (Victoria Keating or Vancouver Virtual Way). The Coordinator acts as the first point of contact for building-related issues, and ensures repairs/services are completed in a timely manner by opening work orders, maintaining service records and contracting vendors and trades people regarding repairs and services. The Coordinator is also responsible for maintaining the office supplies inventory, including furniture and desk supplies, for all staff at their site by placing orders from approved vendors and act as backup for reception as required. In addition the position will issue and retrieve parking and building passes for the site including maintaining the waiting list and contacting payroll when parking passes are issued.

This position will use computerized business application system skills including word processing, spreadsheets and Outlook to ensure timely maintenance of facilities, equipment, supplies and services needed for day to day operations at the Victoria Keating and Vancouver Virtual Way sites.

What you’ll do

  • Receive requests related to building operations including plumbing, electrical, heating and ventilation systems, open work orders with Workplace Solutions Inc. (WSI), and ensure the repairs/services are completed as expected and in a timely manner. Escalate issues to the Facilities Coordinator if WSI is not able to resolve the issue or the work was not completed as expected.
  • Act as point of contact for, and escort vendors and trades-people around the site for repairs, installing boards, pictures, and keyboard trays, and for delivery of new furniture, often coordinating one work order for multiple facility repairs.
  • Using the work order system, maintain all service and repair records completed at the site.
  • Monitor and maintain office supplies inventory for all departments at the site by placing orders from approved vendors such as Staples Advantage.
  • Use corporate purchasing card to purchase office supplies and minor furniture and desk accessories – purchasing card limit $10K.
  • Ensure furniture acquisitions are cost effective by checking internal furniture inventories, asset disposal services for surplus furniture, or by obtaining quotes from external vendors.
  • Act as site contact and oversee the transfer to storage or disposal of furniture and office equipment.
  • Coordinates parking and building passes by activating and deactivating passes for new and departing employees, notifying payroll when a parking pass has been issued and maintaining the parking pass wait list and notifying staff when parking is available.
  • Participate on the office Occupational Safety and Health committee, and respond to concerns raised by the committee about building safety issues, by advising the landlord or maintenance vendor and ensuring appropriate and timely action is taken to mitigate the issue.
  • Provides backup to the Receptionist.
  • Performs other related duties as assigned.

  • Grade 12 and two years’ recent related experience or an equivalent combination of education, training and experience.
  • Ability to keyboard 45 w.p.m.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to deal with others effectively.

  • Ability to organize work.
  • Ability to operate related equipment.
