Role
Parks Regional Operations Branch is the largest front-line service delivery branch within Environment & Parks. Regional Operations is responsible for enabling outdoor nature-based recreation across 246 high-value sites, facilitates approximately 12 million visitors annually, and consists of a peak summer operating season team of over 650 permanent and seasonal staff. The Branch is responsible for the delivery of an eclectic range of front-line public services ranging from safe water plant operation to engaging interpretation shows.
Reporting to the Senior Operations Coordinator (SOC), the Parks Operations & Administration Coordinator (OAC) provides critical support to the Executive Director (ED) and Branch Leadership team to ensure that operational & administrative issues are efficiently and effectively coordinated. As a trusted advisor, the OAC ensures that the ED, SOC, and branch leadership receive timely and accurate briefings and advice on current and emerging topics.
The OAC focuses on coordinating the daily business flow in the Executive Director’s Office, developing & reviewing correspondence, providing administrative support to the Executive Director, and coordinating assigned operational programs.

As the Parks Operations & Administration Coordinator you will:
- Identify and flag emerging issues to the ED, SOC and Parks Operations Directors.
- Work with ED and SOC to coordinate and assess priority files and issues.
- Guide and clarify action items issued to regions (e.g. Sit Rep, Action Requests).
- Review, analyze, and revise action requests from the Minister, DMO, and ADM offices.
- Draft general correspondence and speaking notes on ED’s behalf for branch updates/meetings.
- Ensure a cohesive branch voice is present and consistent in written correspondence and briefing documents.
- Manage the ED’s travel arrangements.
- Manage the ED schedule and ensure alignment with strategic priorities.
- Coordinate Branch information management and documents structure, while ensuring alignment with Divisional information management practices.
- Anticipate issues related to specific contracts and priorities, and address proactively by requesting information from appropriate contacts prior to ED review.
- Review, sort, and prioritize all incoming correspondence for the ED.
- Validate and process staffing requests, human resource documents, and oversee the implementation of the branch staffing request processes.
- Assess contracts, business cases, and amendments for completion and quality.
- Coordinate assigned operational programs such as Fire Bans and Safe Beaches.
- Support implementation of the branch integrated reporting framework.
- Coordinate with partner teams such as Environmental Enforcement Branch, and River Forecast Centre, to facilitate integrated operations.
- Provide secretariat support to branch committees as assigned.
- Establish and maintain strong working relationships with Directors, Regional Controllers, and Area Managers to ensure input and responses are consistent across the branch.
The Operations & Administration Coordinator works closely with the Senior Operations Coordinator, Branch Leadership Team, and the Parks Division Assistant Deputy Minister’s Office. This role is critical to ensuring cohesive and optimized Parks regional operations.
Qualifications
Education:
University graduation in a related, no experience required, or equivalent as described below.
Equivalency: Directly related education or experience considered on the basis of:
- 1 year of education for 1 year of experience; or
- 1 year of experience for 1 year of education.
This position requires:
- The ability to constantly shift priorities in accordance with evolving operational requirements.
- Exceptional organizational, communication and information management skills.
- The acumen to develop and coordinate solutions to operational problems that facilitate and enable front line service delivery.
- The ability to distill disparate pieces of information from a variety of sources in order to synthesize the information into a clarified, holistic product.
- Ability to work within corporate processes to manage and resolve issues, while ensuring information flow with the necessary individuals.
- High-level computer skills using Microsoft Office Suite with an emphasis on word, power point, and excel.
Additional assets:
Preference will also be considered for candidates that have:
- Prior experience in front-line service delivery organizations.
- Technical knowledge of parks issues in recreation management, visitor experience, infrastructure management, tourism or conservation.
- Knowledge of the applicable pieces of legislation that may affect Parks Operations Division (Parks Act, FOIP Act, Public Lands Act).
- Knowledge of Ministry and GoA related policies, regulations, and legislation.
- An awareness of the roles and responsibilities of various ministry, government, and non-governmental entities to efficiently resolve issues.

Salary
$2,281.95 to $2,993.39 biweekly ($59,559 to $78,127 /year)
Notes
Terms of Employment:
- Full-time based on 36.25 hours per week, Monday to Friday
- Occasional overnight travel will be required
- Class 5 driver’s license required
