The Property Administration Manager is typically only present in offices that require the performance of complex accounting functions which need in-depth accounting knowledge. Complexity in the role may be due to the number and type of properties in the portfolio (own-use, investment) and hence each type of property has its own accounting and reporting requirements. The incumbent is responsible for overseeing the preparation of accurate and timely monthly, quarterly, and annual financial reporting required by business partners and Real Estate Finance.

Reporting to the AVP and Regional Director, Corporate Real Estate, the Property Administration Manager is accountable for overseeing the preparation of accurate and timely monthly, quarterly, and annual financial reports in order to meet Head Office reporting requirements. The job holder is accountable for the accurate and timely coordination of all administrative and accounting functions including annual budgeting and quarterly forecasting. The incumbent acts as the Office Manager responsible for the effective administration of the Corporate Real Estate Office and as a liaison with Head Office.

Responsibilities:

Liaise with Real Estate Head Finance on all accounting transactions to ensure that the required information is entered into Yardi Voyager system, the financial accounting system on a timely basis.

Prepare the annual property operating budgets to derive annual accommodation cost as well as the annual Performance to Plan (PTP) for the Corporate Real Estate office. Ensure that the input of budgets and monthly/quarterly reforecasts into Yardi is done on a timely basis to meet given deadlines. Draft the executive reports (quarterly and budget), ensure accuracy, consistency and compliance. These reports are reviewed by all the CRE Managers at the property, before it is transmitted to HO. Adhere to and reinforce established SOX policies.

Record monthly Yardi transfer of all PtoP charges and salary allocations to applicable operational and shared service projects ensuring accuracy of all charges.

Verify the completeness and accuracy of financial information processed through Yardi Voyager System.

Assist Facilities Management, conference centre, fitness centre and cafeteria shared service properties in analyzing and interpreting operating statements. Be the main point of contact for the internal/external auditors.

Monitor input of entries in the Real Estate Yardi system and resolve issues or problems that may arise.

Review cost control fixed asset projects and ensure Head Office Accounting Guidelines are followed for projects closure.

Lead and manage the Property Administration staff for the Corporate Real Estate Office. Perform all staffing functions including hiring, training, motivating, performance assessment and development. Review Property Administration staff’s monthly journal entries to ensure accuracy of the entries before posting.

Liaise between MLI business units regarding PtoP charges, Parking charges, Rent charges, all shared services income and expense issues.

Collaborate and consult with counterparts in other regions to share best practices and explore solutions to common problems.

Comply with health and safety policies, protocols and regulations in place for Real Estate. Ensure Property Administration staff follow policies and procedures when handling Moneris Machine transactions.

Processing all incident reports to OHS Manager/Compliance/Insurer. Maintain office staff count and update organizational charts monthly for submission to Head Office.

Train staff on financial applications used within Real Estate and assist Real Estate Systems in troubleshooting and correcting problems encountered by the Corporate Real Estate staff.

Review, recommend, and implement improvements to established procedures and processes to increase operational efficiency.

What we are looking for

Post secondary degree or diploma required

Accounting designation – CMA, CGA, CA or CPA preferred

Minimum 7 years of progressive experience in accounting, preferably in the Real Estate industry, minimum 2 years’ management experience

Enrollment in the Real Property Administrator (RPA) certificate program

Sound knowledge of Real Estate accounting and administration concepts including Tririga

Experience using Yardi would be an asset

Aptitude to analyze financial data (including investigative, reconciliation & problem solving skills)

Excellent PC skills

Self starter, strong organizational and time management skills with the ability to be flexible to changing environments as well as manage multiple tasks; work independently and set priorities to consistently meet deadlines

Strong influencing and communication skills with ability to build and maintain effective relationships

Ability to communicate business information to internal/external customers and co-workers
