The Traffic Operations section in Parks & Roads Services, operates and maintains a safe, vibrant and efficient mobility network, which includes Traffic Control & Parking, Signals & Streetlighting and Planning & Permitting.
Reporting to the Director, Traffic Operations, the Section Administration Clerk is a key support for the Traffic Operations section. The role provides administrative assistance to the Director, Traffic Operations Leadership Team, and to staff throughout the section. The Section Administrative Clerk is the main administrative contact for the Branch Manager’s Office and collaborates with other Clerks for branch-wide tasks, projects and responsibilities.
The Section Administration Clerk is responsible for broad range of clerical and administrative duties, which include meeting and calendar management, creating agendas, presentations and document templates, section records management, support for FOIP processes, OH&S safety coordination, tracking of training / membership requirements, ordering supplies and materials, completing corporate credit card purchases, coordinating finance and procurement staff to process payments, coordinating documents for approvals / signatures and managing the section’s POSSE process. This position also supports internal units in Traffic Operations with seasonal influxes, including support with seasonal onboarding, staff scheduling, inventory management and equipment maintenance.

- Provide administrative support to the Director and Traffic Operations Leadership Team
- Manage the flow of incoming and outgoing correspondence, ensuring that documents are recorded and managed according to policies and procedures
- Support for committees/meetings including logistics, scheduling, preparing agendas, managing attendance lists, taking minutes and following up on action items
- Track and monitor unit projects, tasks and Council Reports
- Provide liaison between the units and the Director’s office, to the Branch and Deputy City Managers’ offices
- Attend, document and participate in Leadership Team meetings, supporting completion of action items as required
- Support and assist with prioritizing, organizing coordinating, tracking and responses for POSSE, FOIP and other related requests and assignments
- Format and draft various documents (memos, letters, reports, inquiries etc.)
- Assist with and/or prepare project documentation; ensuring the use of corporate templates
- Create and process purchase requisitions, reconcile and process invoices
- Provide administrative support for recruitment processes, including scheduling interviews, preparing packages and coordinating logistics
- Ensure document management, retention, disposition and distribution adhere to FOIP requirements
- Coordinate mail/courier/faxes, telecommunication, computer hardware/software coordination and directory updates
- Order and coordinate stationary / materials, furniture and technology equipment for the section at both Traffic Operations facilities
- Support with inventory management, asset maintenance and coordination of building repairs at both Traffic Operations facilities (Edmonton Tower and the Traffic Field Operations)
- Perform other related duties as required
Qualifications
- High School Diploma, including business subjects with an emphasis on general office practices, or completion of an office administration certificate
- Two (2) years progressively responsible related administrative experience
- Excellent verbal and written communication skills
- Focus on excellent customer service
- Ability to make decisions in accordance with established policies and procedures
- Excellent skills with grammar, punctuation, and spelling, with a high level of accuracy, ensuring documents conform to City of Edmonton formats
- Excellent time management
- Proven ability to effectively handle sensitive information using discretion
- Ability to manage a large volume of work with conflicting demands and timelines
- Ability to establish and maintain effective working relationships with a focus on balancing competing requirements within the various units and ensuring service is delivered accordingly
- Strong knowledge of software and databases including Google Products, Microsoft Office Products, SAP, POSSE, CRM, Centresuite and Peoplesoft
- Hire is dependent upon a Police Information Check satisfactory to the City of Edmonton

Up to 1 permanent full-time position
Hours of Work: 40 hours per week. The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement and the incumbent will be notified in advance.
Salary: $22.361 – $27.765 (Hourly); $46,689.770 – $57,973.320 (Annually)
