The Team Lead, Administration – MD Private Trust is responsible for leading and overseeing the MD Private Trust ( MDPT) regional administrative practices in Client Value & Performance, ensuring business strategies, plans and initiatives are executed / delivered in compliance with governing regulations, internal policies and procedures. This role oversees key initiatives such as the hiring, technical onboarding and ongoing training, development and support of Regional Estate and Trust Administrators (RETA) to drive functional and enterprise priorities for MDPT. The incumbent is culturally and organizationally astute, and able to network and build key partnerships between regional partners and MDPT. This position helps to establish clear operational and administrative processes and procedures, as well as fostering an environment of continuous improvement.

This is a remote contract position.

Accountabilities

Enterprise View:

Leads and drives a customer focused culture throughout their team to deepen client relationships and leverage broader Bank relationships, systems and knowledge

Acts as a trusted partner to foster strong working relationships with leaders across the organization

Influences, facilitates, negotiates and manages stakeholders with a variety of sometimes conflicting interests to achieve functional and/or enterprise/initiative deliverables and outcomes

Manages a portfolio of initiatives including expertly presenting analyses to senior management, regional management and partners

Acts as a consultant offering advice and influencing partners on processes and in program design impacting CVP leaders, advisors and admin staff

Understands how the Bank’s risk appetite and risk culture should be considered in day-to-day activities and decisions.

Creates an environment in which his/her team pursues effective and efficient operations of his/her respective areas in accordance with Scotiabank’s Values, its Code of Conduct and the Global Sales Principles, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions and conduct risk.

Functional View:

Drives accountability and facilitates the adoption of new or improved people, process and technology initiatives and solutions to achieve MDPT business development and service effectiveness

Identifies and leads the development of new tools/solutions to solve for challenges, gaps and build efficiencies

Identifies and champions opportunities to integrate processes across business lines within MDPT

Leads the development and execution of effective training plans, with regional staff and in coordination with central admin initiatives

Builds a strong network of relationships nationally to monitor MDPT’s administrative function

Identifies best practices and leads the implementation of national standards

Champions and role-models effective communication, process documentation standards and change management on various initiatives

Leads sessions with stakeholders to elicit requirements and make qualified recommendations for business decisions

Fosters a customer focused approach

Manages a team of RETAs (10 – 14 FTEs), providing ongoing supervision, guidance, and support, including performance appraisals and monitoring performance against Client Service Commitments and internal SLA’s

Oversees RETA responsibilities, with view to national consistency of policy and procedure application

Hires new talent, and supports the development of current talent

Education / Experience:

A University degree, or equivalent educational/professional experience/qualifications (CETA / TEP, STEP, CSI)

3-5 years of prior business experience with depth of knowledge of PT administrative procedures in our regional offices

Experience teaming with project stakeholders to achieve enterprise goals

Strong interpersonal, self-motivation, presentation, communication and written skills.

Demonstrated ability to thrive and make decisions in the face of ambiguity

Strong business acumen and ability to make sound business decisions/recommendations quickly and confidently
