Job title: Transit Administration Clerk E
Job description: 1. Set up and administer accounts, liaise with contractors and vendors and prepare agreements for signature. Reconcile accounts and provide monthly and yearly records for distribution as required.
2. Process Handi-Transit Applications.
3. Perform routine clerical duties for Transit staff (co-ordinate meetings, opening/distributing mail, maintaining filing systems, drafting and typing correspondence, etc.).
4. Prepare and enter payroll time and exceptions for Transit employees on a weekly basis and respond to enquiries.
5. Act as Receptionist for the building and answer telephones, as required.
6. Respond to inquiries and record complaints. Compile pertinent information regarding incoming correspondence and assist in resolving issue.
7. Prepare work schedule for part-time clerical staff, as required (e.g. vacation relief, training sessions, special projects, etc.).
8. Prepare month end inventory and reconciliation of ride cards.
9. Work with the Manager of Transit Operations to ensure that route and schedule information is up-to-date for all forms of media (Website, Flyers).
10. Compile, verify and record statistical information for distribution and use by various departments and outside agencies.
11. Maintain and process records of accidents/incidents involving Transit vehicles and/or personnel and distribute pertinent information, as required.
12. Prepare daily fare box audit report, verify daily fare box revenues for accuracy; advise Supervisor of Transit Administration of any discrepancies.
13. Maintain accurate tire change records and forward monthly report for Tire Contractor’s billing purposes.
14. Maintain attendance records, timesheets and annual vacation schedules; prepare and distribute all corresponding Human Resources and/or Payroll forms for the Sections.
15. Prepare billing advices.
16. Perform the duties of an Information Clerk as required.
17. Develop and maintain a thorough working knowledge of CGS’s Safety Manual and the applicable Provincial Legislation listed therein.
18. Perform other related duties as required.
Qualifications:
- Successful completion of Secondary School (Grade XII) Education with an additional one (1) year of post-secondary education (i.e. Office Administration Certificate or one (1) year of a Business Administration program from a Community College).
- Over one (1) year up to and including two and half (2½) years of related experience.
- Demonstrate ability related to computer software and administrative systems in a Windows environment (e.g. file maintenance, word processing, spreadsheet applications, information input and retrieval, etc.).
- Demonstrate organizational and administrative skills and ability to exercise judgement in procedures and methods used.
- Demonstrate interpersonal skills in dealing with the public, staff and outside agencies in a courteous and effective manner.
- Excellent use of English; verbally and in writing.
- French verbal and written skills an asset.
- Satisfactory health, attendance and former employment history.
- Must be physically capable of operating a vehicle safely, possess a valid driver’s licence, and have an acceptable driving record and personal insurance coverage.
